Missed calls.
What’s the cost?

Check when calls go unanswered and what callers need. Then choose the right cover: callbacks, a person or an AI receptionist.

The short answer

A missed call is not automatically a lost booking. Some callers try again, some get a callback, and some were never a new enquiry. Find the genuine gaps first. Venant Studio can set up an AI receptionist on request; compare it with the coverage your business needs.

Start with your calls

Find the gaps.
Plan the cover.

Look at a typical few weeks, including busy days and calls after closing. Keep new enquiries separate from existing customers and spam.

Check when calls go unanswered. Does it happen while the team is helping someone, during lunch, or after closing? The pattern tells you whether you need occasional backup or wider coverage.

Then check what happened next. Remove repeat attempts from the same caller and note enquiries you later answered or booked. Flag unknown callers as unknown rather than counting them all as lost customers.

Ask what the caller needed. Hours, availability and a routine appointment may fit an answering assistant. A detailed quote, complaint or urgent situation may need a person who knows the business.

Also check your capacity. If you cannot take more bookings, the useful goal may be fewer interruptions or clearer callbacks, rather than more enquiries.

Estimate the opportunity

Your calls.
Your numbers.

Treat this as a planning estimate. Use a low and a high case where the call log cannot give you a firm answer.

  • A — Unanswered new enquiries. Count distinct potential customers in the period you reviewed. Exclude spam, existing customers, repeat attempts and enquiries you later recovered. Note how many you could not classify.
  • B — An estimated booking rate. Use your own comparable answered enquiries as a starting point. If you do not know the rate, track it before treating the estimate as a reason to buy.
  • C — Revenue from the first completed job or visit. Use a typical amount for the enquiries being counted. Keep possible future visits separate rather than assuming a full customer relationship from every call.
  • Potential booking value = A × B × C. This is estimated revenue for that period, not profit or confirmed lost income. Allow for the cost of doing the work, available capacity and how many enquiries better coverage could actually recover.

Use the estimate to choose a next step. If missed new enquiries are rare, try a clearer voicemail message and a reliable callback routine first. If the same gap keeps appearing, compare ways to cover those hours.

No answering service can promise to recover every enquiry. If you add one, track answered calls, completed bookings and the time it saves against its cost.

The options

Call coverage.
Four options.

Hire or reassign Your team

Assign someone to answer and agree who covers breaks or busy periods. This can suit calls that need judgement. Include the staff time and hours you need when comparing costs.

Voicemail Call back

A clear message and an agreed callback routine may be enough for a quiet line. Tell callers when to expect a reply and make sure someone checks the messages.

Answering service Get a quote

An external team can cover agreed hours. Ask whether they take messages or book appointments, how calls reach you, and what happens if you exceed the quoted usage.

AI receptionist On request

Handles agreed routine questions and books into your calendar. Set its coverage and rules for passing a caller to a person. Check that it fits your enquiries and booking setup.

Venant Studio's AI receptionist is available on request. Compare the agreed coverage and setup with the other options before choosing.

Straight talk

AI answering.
When it won’t fit.

Your phone is quiet

If you rarely miss a useful enquiry and callbacks work, a recurring answering service may add little. Keep the simpler process unless you can identify a gap it would solve.

Every call is complex

Routine appointment support may be a poor fit for calls that need sensitive judgement or urgent help. Work out how a person takes over before considering an automated answer.

You'd hide what it is

The receptionist should say it is an AI assistant at the start. Decide how callers can reach a person, and make sure that route works for your team and customers.

Need cover for calls you cannot answer?

Tell me your business type, how many calls you get and the hours you need covered. I’ll look at your calendar and how calls are handled now. AI reception is priced on request, and you keep your phone number: calls are forwarded.
